Executive Assistant to the CEO – Paris, France

We are now looking for the future Senior Executive Assistant to its Group CEO. The position is based in Paris.


Being at the heart of the company’s governance, the Senior Executive Assistant is responsible for providing comprehensive organizational support to the CEO. Your role is about both relationships (managing all internal and external contacts and meetings) – requiring strong verbal communication skills in order to ensure a smooth circulation of the information – as well as about reporting – requiring great written and visual communication skills in order to produce all required presentations and materials.

Your mission is to free the CEO of all administrative matters and follow up – and to facilitate her interaction with her counterparts in order to save time and be efficient.

Agenda management
You provide overall calendar management for the Chief Executive Officer: you plan her professional trips and you ensure the coordination of all her meetings both domestically (in France) and internationally, prioritizing inquiries and requests and troubleshooting conflicts. You ensure the production of preparatory documents, you write the minutes of meetings and you ensure the follow-up of internal meetings (reminding participants for follow-up). You monitor the execution of action plans decided during the meetings.

Liaising with internal and external stakeholders
You serve as a primary point of contact by building a cooperative relationship between the Chief Executive Officer and members of both the COMEX and the Comité de Direction. You also maintain the communication with all external key stakeholders for the company (commercial partners, public authorities …).

You record minutes of meetings and prepare reports for all meetings’ participants.

Legal support
You handle all administrative matters related to the board of directors’ meetings and general assemblies – and you conduct the drafting of meetings’ agendas and minutes.

Event management
You prepare and handle all logistics of all internal corporate events – either on a large scale (for example for the 70 top managers of the group worldwide) or on a smaller scale (such as those tailored to the strategic committee of the group). You ensure the management of comprehensive travel arrangements and itineraries as well as the coordination of external vendors for such events.

Your profile

You are a bachelor graduate – or equivalent (Baccalauréat + 3) – in areas such as administration or linguistics for example. You can demonstrate significant executive support experience (of at least 10 years), including 5 years supporting C-level executives (Presidents, CEOs, General Managers) in a dynamic and multicultural environment.

You are experienced working in corporations with a strong international orientation – where you have ensured (in English) the interaction between a central organization and representatives of international subsidiaries – and demonstrated a strong sense of organization and communication. You can manage time wisely in a fast-paced environment.

You practice English every day with counterparts of all cultures (including English native speakers) and all nationalities. Your level of English is excellent, both verbally and in writing (minimum required: TOEIC 850/1000). Your level of French is impeccable (both orthography and grammar).

You are at ease with taking notes smoothly and you offer strong writing skills.

You master the Office Pack perfectly (Word, Excel), Outlook, Google Suite as well as collaboration tools (Teams, Zoom). You are extremely efficient with Powerpoint and you are capable of producing complex documents and presentation materials.

You have a solid base of general knowledge, allowing you to deal with diverse groups of people.

You are fast and reliable in the execution of tasks and you are orientated towards efficiency and results. You have a sense for details and you offer strong analytical skills. You know how to handle multiple priorities and multiple assignments at a given time. You are flexible and adaptable. You are stress-resistant.

You are mature, calm and professional at all times: you have a positive, proactive and collaborative mindset.

You maintain a high level of integrity and discretion in handling confidential information.
